Collegiate EMS Week and Collegiate CPR Day 2025 are just around the corner! Celebrate campus-based EMS starting on November 10th, and please share your activities with us by tagging us on social media and/or emailing emsweek@ncemsf.org. Take advantage of this week-long opportunity to celebrate campus based EMS together with all other collegiate squads. 

Online booking for hotel rooms for our 33rd Annual Conference, scheduled for the weekend of February 20-22, 2026 in Arlington, VA is now available! Reserve your hotel rooms today at the DoubleTree by Hilton Hotel Washington, DC-Crystal City at the NCEMSF special conference rate of $169 per night (plus applicable taxes and fees). Book now to lock in this special rate which is good only through January 16 while hotel capacity exists. For questions or issues related to hotel booking, please contact confinfo@ncemsf.org. Conference registration itself will open on December 1st. The online abstract submission system remains open as well to submit your proposals for presentations at the Conference - this includes standard theater-style lectures, hands-on skills labs, lightning talks, Vomacka student speaker competition, and JCEMS research poster session. Presentations will be accepted on a rolling basis starting late fall.

Start thinking about our annual NCEMSF Awards and Recognition Programs. Consult the Annual Awards page of our website for submission criteria. Starting this academic year, individual and organizational awards now have online submission forms. All supporting documentation will need to be uploaded as a single PDF file. Remember that to be eligible for any organizational awards, a group must be a current dues-paying Institutional Member of NCEMSF, and to submit a nomination for an organizational award, a group will need to log in using its institutional website account. Membership information is available on the website. Awards are available for Collegiate EMS Provider, Collegiate EMS Advisor, Collegiate EMS Organization, Collegiate EMS Community Engagement Program, and Collegiate EMS Video of the Year.  Additionally, submission directions for the MERIT Recognition Program (formerly Striving for Excellence), HEARTSafe Campus, and EMS Ready Campus programs are available online under the Programs tab. All three self-evaluative programs will continue to accept applications via their program-specific email addresses. 

Relatedly, just as we revised and created MERIT last year, our EMS Ready Campus program has undergone an update over the summer taking into account feedback from submitters, reviewers, and NCEMSF staff. These changes include updated requirements to better match current best practices in emergency management, clearer communication on documentation and submission, and a streamlined process for schools who are renewing an existing recognition. For the current awards cycle, schools may submit under either the current or the new set of requirements. After the 33rd Annual Conference, only the updated set of requirements will be accepted. Questions on the requirements, including requests for accommodations from schools that have started on the prior set but wish to transition to the revised requirements, should be directed to emergency.management@ncemsf.org. A summary of key changes is also available. 

Lastly, our quarterly moderated roundtable discussions for campus based EMS advisors and medical directors continue via Teams. Our next scheduled session is Monday, November 17th at 4PM EST. If you need to be added to the calendar invite with the link for the call, please email info@ncemsf.org
